Switching to BillerBay
Make the move with a plan for the work already in motion.
Your next billing relationship begins while your current one still has open claims, payments, and unfinished tasks. A responsible transition starts by making those responsibilities visible and agreeing how they will be handled.
A five-stage handover plan.
-
First, understand what will move.
We review the services you want to transfer, current systems, access requirements, payer setup, reporting, and the status of outstanding work. We also discuss your existing agreement and any notice, data-return, or handover obligations that may affect the schedule.
-
Decide who owns historical A/R.
Old balances need an explicit decision. We agree which accounts are included, what records are available, and who will handle follow-up, payments, adjustments, and questions that arrive after the transition. Historical A/R can be a separate scope from new billing.
-
Prepare the handover together.
The transition plan identifies the people, information, and approvals needed on each side. It covers system and payer access, provider records, document transfer, work queues, reporting definitions, and the way your team will raise questions. Missing items stay visible so they can be resolved before they create avoidable delays.
-
Check readiness before go-live.
We agree the checks relevant to your scope and systems. These may include access verification, representative workflow checks, responsibility for each open queue, and a way to reconcile claims and payments during the handover. A start date should reflect that readiness.
-
Keep watching the early work.
The first reporting periods need close attention. We review the movement of new work, unresolved handover items, payments arriving against earlier claims, and any issues requiring escalation. As the engagement settles, we move into the agreed ongoing review schedule.
You can begin before you decide to switch.
An initial conversation can help you understand the work involved, the questions to ask your current provider, and the information needed to prepare a proposal. You can evaluate the move before committing to it.

How long does switching take?
Timing depends on your systems, access, existing arrangements, payer setup, open work, and the scope being transferred. We establish a proposed schedule after reviewing those dependencies.
Do we need to change our EHR?
We assess your current EHR and practice management environment first. Any access limitation, integration work, or recommended system change is discussed during scoping.
How do you manage billing continuity during the move?
We plan the handover around access, documentation, open work, and payer dependencies. Agreed readiness checks and a clear route for resolving issues help manage the transition. The schedule reflects what is ready and what still needs attention.
What should we bring to the first conversation?
A high-level description of your organization, systems, current arrangement, and main concerns is enough to begin. Detailed records can be requested later through an agreed process.
